How to View Quote Statuses

 

Once a quote is published, it is assigned to a user for final sign-off or acceptance before the order is placed. The Quotes Waiting Acceptance screen provides you with a complete listing of quotes that are awaiting your acceptance. You are able to identify a specific quote to accept or reject.

Before starting, make sure:

  • You are logged into SnapTracker.
  • Your user account has shopping enabled.
  • You have access to at minimum one customer with shopping enabled.
  • You have access to the Quotes Waiting Acceptance screen.
  • You have at minimum one Quote created and assigned to you for review.

This post outlines how to access the Quotes Waiting Acceptance screen and approve or reject quotes.

 

1. In the header section, click My Account.

 

2. Click Quotes Waiting Acceptance.

 

3. Alternatively, in the header section, click the Cart icon.

 

4. In the Cart side panel, click Quotes Waiting Acceptance.

Observe the fields on the Quotes Waiting Acceptance screen:

  • Quote Name – The name of the quote.
  • Description – A description added to the quote.
  • Res. No. – A reservation number. (If applicable).
  • Project Ref. No. – The project reference number associated to the cart in the Checkout screen (optional).
  • Last Update Date – The date the quote was last updated.
  • Status – The status of the quote.
  • Customer – The customer the quote is created for.
  • Created By – The user who created the quote.
  • Assigned To – The user who is assigned to accept the quote.
  • Total – The total value of the products in the quote.

 

5. The default sort order of the results is Quote Name in ascending order. To change the sort order, click any hyperlinked column to sort accordingly, in ascending or descending order.

 

Observe the primary actions:

  • Print – Print the summary detail of selected quote(s).
  • Reset – Reset any applied filters.
  • Add Comments – Add comments to when accepting or rejecting the selected quote.
  • Reject – Reject the selected quote(s).
  • Accept – Accept the selected quote(s).

 

6. To add comments to a quote approval or rejection, select the checkbox beside the desired quote(s) and click Add Comments.

7. To accept/approve the quote with a comment, add a comment in the comment text box and click Approve.

A success message displays and the order is created. An email is sent to the dealer with the order details. If you accessed the quote by directly logging in to SnapTracker, you receive an email with the order details.

Note: To reject the quote with a comment, add a comment in the comment text box and click Reject. The quote is rejected. An email is sent to the dealer to notify them of the rejection.

 

8. To view additional filters, click the Filter icon.

Note: The Filters may display for you by default, depending on your user settings.

 

The Quotes Waiting Acceptance filters section displays.

 

One filter or a combination of filters can be applied to get the desired results.

  • Search By – Select a field to search for a keyword in.
  • Enter Search Text – Combined with Search By. Type in a keyword to search for in the selected field.
  • Date Range – Select a date range to filter.

 

9. Make your selections using the corresponding sections. Click Search.

10. To view additional details about a quote, click the hyperlinked quote name.

 

The Quote Details screen displays.

You can review the details of the selected quote. The screen shows the product in the quote, the Order History section and all information recorded in the Payment Information, Order Information, and Additional Information sections.

 

11. To print only the product in the quote, below the product listing, click Print Items.

 

12. To review updates to the quote status, with any associated comments/notes, click the + icon to expand the Order History section.

 

13. To print the full quote, scroll to the bottom of the screen and click Print Quote.

 

14. You can accept or reject the quote in the Quote Details screen as well as in the Quotes Waiting Acceptance screen.

To accept or reject the quote, scroll to the bottom of the screen and click Reject or Approve.

 

15. If you click Reject, in the Reject Quote pop-up, click Yes.

A confirmation pop-up displays. The quote is rejected. An email is sent to the dealer to notify them of the rejection.

If you click Approve, Approve Quote pop-up, click Yes.

The quote is approved. A success message displays and the order is created. An email is sent to the dealer with the order details. If you accessed the quote by directly logging in to SnapTracker, you receive an email with the order details.

 

The screen refreshes and the Quotes Waiting Acceptance screen displays.

When a quote is accepted or rejected, it no longer displays in the Quotes Waiting Acceptance screen.
