How To Set Up a User for Shopping
Shopping refers to two things in SnapTracker : buying new products and making a requisition for stock products. If a user is enabled for Shopping, the user is able to create a cart and add products or services to a cart depending on the user’s shopping setup.
This post outlines the steps involved in setting up a user for Shopping. We often refer to the set up options on the User Setup screen as a user’s “shopping rights”. In this post, we will highlight and define some of these shopping rights in SnapTracker.
Step-by-step instructions
From the main navigation bar on the left, select Utilities, User Setup.
The User Setup screen displays. Select User.
Select the Shopping tab.
The Shopping Setup screen displays.
Note that fields with red triangles beside them are mandatory and must be filled out.
From the Enter a User drop-down selection box, select the user you would like to configure with shopping.
Then select or deselect the user shopping setup options:
- Allow Shopping – If a user is enabled to Shop, the user is able to add product to a cart.
- Description Preference – If the user is familiar with the Manufacturer’s description and prefers it, select Manufacturer. Otherwise, select Custom for a more customer-friendly product description. Note: Custom descriptions need to be created for product. If there is no Custom description for an item the Manufacturer description displays).
- Display Price – Depending on which Price(s) should be displayed to the user, select List / Discount / Purchase and/or Stock Price.
- Display – Depending on what identifier(s) the user can see when shopping, select Catalog No / Standard.
- Quantity Display Indicator – If the user is ordering Stock product, do you want them to see the quantities on hand? Select Yes / No.
- Ordering Type – Depending on what the user should be allowed to shop for (i.e. add a cart), select from New / Stock and/or Service.
- Stock Checkout Preference – Depending on whether Reservation or Work Order is selected, a reservation or a work order is created when a cart with stock products is checked out.
- Assign Qty to Stock First – Depending on whether the user should pull products from Stock first or New first, select Yes / No.
- Reserve Cart – Depending on whether the user can manually reserve a cart, select Yes / No. When enabled, a “Reserve Cart” button displays in the Shopping Cart screen.
- Create via Excel – Depending on whether the user can add product to a cart by uploading an Excel file, select Yes / No.
- Create via SIF – Depending on whether the user can add product to a cart by uploading a SIF file, select Yes / No.
- Display UNSPSC in cart – Depending on whether the user can view UNSPSC codes of product in a cart, select Yes / No. Note: This is for procurement implementations only.
- Upload Attachments – Depending on whether a user can upload attachments into a cart, select Yes / No.
- My Address Book – My Address Book lets users save addresses in the Billing and Shipping screen for them to user at a later time. Select Yes / No to have the feature available for a user.
- View All Quotes – If users can view quotes, by default they can only see quotes assigned to them specifically. Select Yes / No to determine if they can view all quotes assigned, not just their own.
- Require Approval –Approval means after the user checks out a cart, the cart is routed to an approver before an order is created. Depending on whether the user requires approval, select Yes / No.
- Reserve Shopping Cart Automatically – Depending on whether a cart can be automatically reserved for the user select Yes / No. If this is Yes, a reservation is created for the user as soon as the cart is created.
- Display Buyer Part Id in Cart – Depending on whether the user can view the Buyer Part Id of a product in a cart, select Yes / No. Note: This is for procurement implementations only.
The last section on the screen is for Administrative Access. By default, neither option is enabled for users. The System Administrator may consider enabling some Administrators to Edit Reserve Cart and / or Reassign Carts depending on the needs.
Don’t forget to click Update at the bottom of the page to save the changes.
